[Back to Top] In order to be a registered user, the client must be:
- An authorized student representative from a recognized organization.
- Student must be scheduling certified through the Office of Student Life and Development (SLD).
- You can visit the Office of Student Life and Development (2nd floor of the University Student Union) to verify recognition status of an organization.
Please note: Virtual EMS services are not available for individual students and the off-campus community.
[Back to Top] In order to register, eligible student representatives must visit the USU Conference and Events Center located in the University Student Union, Room 200C (2nd floor). The hours of operation are Monday through Friday from 8:00am to 5:00pm; (closed on Saturday and Sunday).
Registration is limited to the academic year and students must re-register each year.
[Back to Top] On-line requests are only for meeting rooms in the University Student Union. Those rooms include: Huntington Rooms, Newport, Laguna, Redondo, Hermosa, Manhattan, Venice, and Santa Monica rooms. For other rooms, please visit the University Student Union Conference and Events Center.
- Login to the Virtual EMS system with your username & password given when you registered at the USU Conference and Events Center.
- Hover the mouse of "Reservations" and click on "Room Request Form"
- Fill in the sections with the information for your event.
- Date: Fill in your desired date(s). On-line requests must be submitted at least seven (7) before your event.
- Time: Fill in the time you need the room. Include your set-up and clean-up time.
- Building: You may only choose from rooms in the University Student Union.
- Attendance: Indicate how many people will be attending your meeting. This allows you to find availability of a room based on your attendance.
- Continue to fill out your event name and type, customer name, contact, phone number and e-mail. This information will be automatically generated for registered users; please modify this if applicable.
- *In the "Remarks" section, please re-indicate if your event if your event is weekly, monthly or random. Be sure to include dates of all your events.
All fields must be complete in order for your requests to be submitted.
After you submit:
- Approval/Confirmation is based on availability at the time of processing at the USU Conference and Events Center (submission does not guarantee a reservation).
- When your reservation is processed, you will receive an e-mail informing you whether or not your reservation was approved/denied.
- You may also check the status by hovering the mouse of "Reservations" and clicking on "View My Requests" or by calling the USU Conference and Events Center.
If you need to add additional equipment such as TV/VCR, LCD Projector, etc, you must request the equipment in person at the USU Conference and Events Center. The student who submitted to request online must be the person to request equipment in person.
How to Browse Events
[Back to Top] The Browse Events feature enables a user to see all events scheduled within the University Student Union facilities.
To browse events: - Click on “Browse” on the blue bar (near top)
- Select “Browse Events”.
- The system will automatically display the current week under the “Weekly Calendar” view.
How to change the settings in the “Filter Options” box: - To change the date(s), select a specific date to browse by entering the date in the “Date” box or by clicking on the calendar button.
- To change the listing view, click in the “Display Format” box and select one of the listed options.
- To select a specific building, click on the “Building” box and select one of the listed options.
- To select a specific type of event, click on the “Event Type” box and select one of the listed options.
To narrow down a search click on the “Advanced View” button and indicate specific search settings. - Enter an event name in the “Event Name” box. If you do not know the full event title, you may enter abbreviated text. The system will search for all event name listings with that series of lettering. (Ex. meeting).
- Enter a client name in the “Client Name” box. If you do not know the full name of the organization, you may enter part of the name. The system will search for all client listings with that series of lettering. (Ex. Sigma).
- To select a specific client type, click on the “Client Type” box and select one of the listed options.
- Once the advanced filter settings have been indicated, click on the “Search” button.
To view all the related bookings for a specific event, click on the event title seen in blue lettering.
